Week 0 — Free, no obligation

Funding audit

A 45-minute conversation with your named Vantage pair. We review your mission, your current income mix, your organisational profile (geography, beneficiaries, annual budget, governance), and any recent applications and their outcomes. We look at which funders you have approached and why, and form an initial view of how your application quality compares with what the funders you are targeting would expect.

You leave with an honest picture of where your organisation stands and whether Vantage is the right fit. There is no proposal and no cost until the audit is done.

The funding audit is free and without obligation. If it tells us your organisation needs something different from what Vantage provides, we will say so and point you toward it.

Week 1 — Included in all packages

Funder research and landscape mapping

Your funding researcher builds your complete funder landscape: every trust, foundation, statutory programme and corporate giving scheme whose criteria match your mission, geography, beneficiary group, organisational size and current programme portfolio. We use 360Giving, Funding Central, NCVO databases, and direct funder research to find funders your organisation is not currently approaching.

The landscape document you receive shows each funder's criteria, typical grant size, application windows, and an honest assessment of your organisation's fit. It becomes the foundation of your rolling pipeline — updated as funders open and close rounds throughout the year.

Weeks 2–5 — Per application, on retainer

Application preparation and writing

For each application, your senior bid-writer begins with the funder's assessment framework — the specific criteria, weightings, and language the panel will use to evaluate your submission. We read previous successful applications from the same funder where these are publicly available. We review your existing evidence base (impact data, case studies, financial accounts, governance documents) and identify any gaps that need to be addressed before submission.

The application is drafted and shared with you for review before finalisation. We typically ask for one round of feedback from your organisation — to confirm the factual accuracy of the programme description and budget — and we handle all further refinement. The final document is yours: written in your organisation's voice, drawing on your evidence.

Submission and beyond

Submission, tracking and feedback

Your funding researcher manages the submission: every supporting document, every portal registration, every upload, every confirmation. The submission is logged in your pipeline tracker with the expected decision date. When the outcome arrives — whether successful or declined — we log it immediately. For declined applications, we request funder feedback and record the specific reasons in your application history.

Feedback from declined applications directly informs the next round. The organisations that improve their success rate most quickly are the ones that treat every declined application as a data point, not a disappointment. We build that discipline in from the start.

Ongoing — Retainer clients

Pipeline management

For retainer clients, your Vantage pair maintains a rolling 12-month application pipeline: the funders you have applied to, the outcomes, the next eligible windows, and the funders in research for upcoming applications. Your monthly pipeline report shows you where you stand, what is coming in the next 90 days, and what outcomes you are waiting on.

The pipeline management function is what separates a systematic approach to fundraising from an opportunistic one. Systematic fundraising compounds over time: each successful application builds your evidence base for the next, each funder relationship opens doors to others, and each round of feedback makes the next application stronger. We manage that compounding on your behalf.

What your funding position looks like at three, six and twelve months.

Month 3

Foundations in place

Complete funder landscape mapped. First two or three applications submitted. Funding pipeline tracker live. Evidence library built. Your team is no longer writing applications at 11pm — Vantage is managing the pipeline.

What organisations ask before they start.

How much of our team's time does working with Vantage require?

Typically one to two hours per application for your team: a brief input conversation to confirm programme details, one factual review of the draft, and approval to submit. For retainer clients, add a monthly pipeline review call of 30 minutes. The significant time saving is what Vantage takes off your desk — the 20-to-40-hour research and writing process that currently sits with your CEO or operations manager.

Do you guarantee a success rate?

No. Grant applications are evaluated by independent panels, and no honest bid-writing service guarantees outcomes they cannot control. What we guarantee is that the applications we write meet the funder's criteria, are competitive with similar-quality organisations at your scale, and incorporate everything the assessment framework asks for. Our average client success rate in year one is 68%, against a sector average of 24% for self-written applications.

Can you work with funders we already have relationships with?

Yes, and often this is the highest-value early work. Organisations with warm funder relationships frequently underperform those relationships because the renewal application is weaker than the original. We can review your prior applications to existing funders, understand the relationship history, and write the renewal application to the standard the relationship deserves.

What is the minimum engagement?

For per-application work, there is no minimum beyond a single application. For retainer packages, the minimum is three months — enough time to establish the funder landscape, submit the first applications, and receive early outcome data. We do not accept retainer engagements shorter than three months because the compounding benefits of a systematic approach only begin to emerge at that point.
